Brand
The brand of your company lives in Settings, under the Brand group: Guidelines and Assets. Guidelines has four tabs: Theme (your colors and fonts), Brand (your brand guidelines), Proposition and Principles. Your principles and proposition are for agents only: they never show on job boards.
The brand keeps everything about your company's look and voice in one place. New career pages, consent managers and campaigns take their colors and fonts from the theme when they are created.
Relations
- Career page — a new career page starts with the company theme.
- Consent manager — a new consent manager starts with the company theme.
- Campaign — a new campaign starts with the company theme.
Existing career pages, consent managers and campaigns keep their own theme. Changing the company theme only affects the ones created afterwards.
Setting the theme
- Open Settings > Guidelines and select Theme.
- Choose your Logo for light backgrounds and your Inverse Logo for dark backgrounds and photos. Both come from a public folder in your asset library, normally Logos. Select Upload in the picker to add a new one.
- Set your colors:
- Primary Color: buttons, links and active states.
- Secondary Color: your second brand color.
- Heading Color: text color for headings.
- Body Color: text color for body text.
A color you leave empty uses the default shown in the field. Select the cross in a field to clear it. - Choose the Heading Fonts, Body Fonts and Mono Fonts. The list starts with the fonts you uploaded (marked Uploaded), followed by every family on Google Fonts. Each option is shown in its own typeface. See Using your own fonts.
- Select Save Theme.
Writing your proposition
Your proposition is how your company presents itself as an employer. Agents work from it; it never shows on job boards. That is what About under Settings > General is for.
- Open Settings > Guidelines and select Proposition.
- Write what you offer, what you stand for and who thrives with you.
- Select Save Proposition.
Generating brand guidelines never changes your proposition.
Writing your principles
Your principles are the rules agents follow when they write and design for you: your voice, do's and don'ts and the choices behind your look.
- Open Settings > Guidelines.
- Select Principles.
- Write your principles. Headings, lists and bold text all work.
- Select Save Principles.
Generating brand guidelines from files
- Open Settings > Guidelines.
- Select Generate from files.
- Drop your brand book, style guide or other brand files. You can drop files and folders together. You can also select the upload area to choose files, or Select a folder to add a whole folder. You can add up to 50 files, 20 MB each: PDF, HTML, CSS, Markdown, JSON, text and images (PNG, JPEG, GIF, WebP and SVG). Other files are left out.
- Check the list of files. Remove any you don't want, drop more files onto the list, or select Add files or Add folder.
- Select Generate.
The files are only used for this generation. Applyfin keeps the logos and images in them, in your asset library, and nothing else.
Generating takes about five minutes. You can leave the page in the meantime; when you come back while it still runs, the page shows it is generating. If it fails, you get a message and nothing is changed. While it runs, the theme, the guidelines and the principles are locked. When it is done, the guidelines appear next to the theme. They cover the logo, colors, typography, tone of voice, imagery and do's and don'ts, as far as your files describe them. Your principles are written at the same time.
Generating also fills in the theme. Colors, fonts and logos the files define replace the current ones. Logos it finds are added to your Logos folder, other images to your Images folder, each with a description. Anything the files do not mention stays as it was.
If a generation fails, the reason is shown above the guidelines. Your guidelines, principles and theme stay unchanged. Generating uses AI, so it stops when your company reaches its fair use limit.
Uploading guidelines as HTML
If your guidelines already exist as an HTML page, upload them instead. This is offered while you have no guidelines yet. Once you have guidelines, import the file from the edit dialog instead (see below).
- Open Settings > Guidelines and select Brand.
- Select Upload HTML and choose the file. The preview shows it.
- Select Save Brand to keep it, or Discard to go back.
Uploading HTML does not change the theme.
Editing the guidelines
- Open Settings > Guidelines and select Brand.
- Select Edit under the preview, next to Discard and Save Brand.
- Change the HTML on the left. The preview on the right follows your changes. To replace it with an HTML file, select Import HTML or drop the file onto the editor.
- Select Apply.
- Select Save Brand under the preview.
Scripts never run in the preview or on the guidelines page.
Managing assets
Settings > Assets is your asset library: the logos, images and videos you use across Applyfin, sorted into folders. The career page builder and the email template editor show the same library, so a file uploaded in one is available in the other.
Every company starts with three folders:
- Logos takes PNG, SVG and WebP files up to 2 MB.
- Images takes JPEG, PNG, SVG and WebP files.
- Videos takes MP4 and WebM files.
They are ordinary folders. You can rename them, change what they take and delete them once they are empty.
Creating a folder
- Open Settings > Assets.
- Select New folder.
- Enter a Name and, if you like, a Description.
- Choose the File types the folder takes and, if needed, a Maximum file size. Without one, files can be up to 20 MB, which is also the limit. File types are grouped by kind. Pick an "All" type, such as All images, to take every type of that kind, including types Applyfin adds later. Or pick single types, such as PNG and PDF.
- Turn on Private for files that should not be public.
- Select Create Folder.
Changing the file types or the size later only applies to new uploads. Files already in the folder stay.
Uploading files
- Open Settings > Assets and select a folder.
- Select Upload and choose one or more files, or drop them onto the folder.
A file the folder does not take, or one that is too large, is refused with the reason. The other files are still uploaded.
Images you upload in the career page builder go into Images, or into the first public folder that takes them.
Finding a file
Search a folder by file name. Use Filters to show only some of the file types the folder takes, and the sort button to order files by upload date, name or size.
The image picker in the brand theme, the consent manager theme and the email template editor has the same search, filters and sort. Its Upload button adds images to the folder you have open. In the email template editor it opens on Images.
Editing a file
Open the menu on a file and select Edit details to change its Name, its Description and, for images, its Alt text. The description helps agents pick the right file. The alt text describes the image for screen readers wherever it is placed. For font files you can also correct the Font family, Weight and Style. See Using your own fonts.
Using your own fonts
You can use your own brand fonts in the company theme, on career pages and in the consent manager.
- Create a public folder that takes All fonts, or add font types to an existing public folder. WOFF2, WOFF, TTF and OTF are supported. WOFF2 is the smallest and loads fastest.
- Upload one file per weight and style, for example a regular, a bold and an italic file.
- Open Edit details on each file and check its Font family, Weight
and Style. For TTF, OTF and WOFF files they are read from the font
itself. For WOFF2 files they are guessed from the file name, so
AcmeGrotesk-SemiBoldItalic.woff2becomes Acme Grotesk, 600, italic. - Pick the family in a font field of a theme. It is listed first, marked Uploaded.
Files with the same family name are used together: text in bold uses the bold file, italic text the italic one. A variable font covers a range of weights in one file, such as 100 900.
Fonts in private folders can't be used in themes. A font you upload with the same name as a Google font replaces the Google one everywhere.
Moving files
- Select the files, or open the menu on one file.
- Select Move (or Move to folder) and pick the folder.
- Select Move.
The move runs in the background. Until it is done, the files stay in their folder marked Moving..., and you can keep working. You get a message when it is done. Files that couldn't be moved stay where they were, and you can try again.
Moving a file changes its address. Career pages and email templates that use it are updated to the new address, and the old address stops working. Files can't move between a public and a private folder. Files the folder refuses stay where they were, with the reason.
Deleting files
Select the files and select Delete, or open the menu on one file and select Delete. You can also delete a file in the career page builder.
When none of the files is in use, they are deleted straight away. When a file is still used, for example on a career page, in an email template or in a consent manager, Applyfin lists where it is used and asks you to confirm. Select Delete anyway to delete it, or Cancel to keep it.
Deleting a folder
Open the menu on a folder and select Delete. This deletes the folder and every file in it. When any of those files is still in use, you are asked to confirm a second time.
